Do Rekaz reports use the payment date or the booking date?

Last updated: September 15, 2026

It depends on the report and metric. Payments uses payment and refund dates; Collection shows the date of each transaction. The Sales report explains that sales use the order creation date. Reservation Reports has two separate filters: Transactions date and Reservation date. An appointment date does not move a payment into that reporting period.

A customer may pay in advance, attend in a later month, or pay in instalments. Payments received in a month therefore need not equal the value of that month’s appointments. Decide whether you are checking money paid during a period or appointments taking place in it, then follow the relevant path below.

Before you start

Start in Reports. Use Sales for financial totals and transactions, and Reservation Reports for bookings and their appointment dates.

  • Use an account with access to the required reports and amounts. Match branches, services and other relevant filters when comparing figures.

1. Read the Sales date explanation

Open Reports, then Sales. Read the explanation at the top: sales use the order creation date, payments use the payment date, and refunds use the refund date. Choose the reporting period you need.

2. Review money paid during the period

Select Payments. Its explanation states that each payment and refund is counted on its own date, after refunds and including VAT. Use the date-range control for the period you need.

3. Match individual transactions

Select Collection. Check Transaction date alongside Transaction Amount and Payment or refund method. This helps trace a deposit or instalments paid on different dates.

4. Open the two reservation date filters

Return to Reports, open Reservation Reports and select Filters. Transactions date and Reservation date are separate fields. Decide which answers your question before applying both.

5. Choose appointment dates with a suitable payment range

For the September appointments in this example, select the Clear icon in Transactions date so it becomes Since beginning. Open Reservation date and select This month. Select the reservation date-range button again to close the picker. Check the actual start and end of both ranges.

6. Apply and check the active ranges

Select Show Results. Read the filter chips above the results before reading Total Reservations. Here, September 1 to 14 appointments with the broad transaction range returned 26 bookings. Collection still uses each transaction’s own date.

You can inspect payments on their transaction dates, select appointment dates separately, and check filter scope before comparing totals.

Partial-payment example: a SAR 100 booking takes place in September. The customer pays SAR 40 in August and SAR 60 in September. The first payment belongs to August payments and the second to September payments. Do not move both to September because the appointment is then. Use Collection to check each transaction’s date and amount.

A refund processed in October for an August payment affects October payments. A payment method can become negative when its refunds exceed its payments within the period.

Sales, Net Paid Amount and reservation Total Revenue have different meanings. In Sales, Net Sales excludes VAT, while Net Paid Amount includes VAT and is after refunds. Read the metric’s definition before comparing amounts.

Transactions date and Reservation date work together when both are set. August transactions plus September appointments means bookings matching both conditions, not every September appointment. For an empty result, inspect both ranges and the other filters before concluding that there are no bookings.

To review appointments, widen Transactions date as appropriate and then set Reservation date. In this workflow, the Clear icon in Transactions date selected Since beginning. The example resolved to January 1, 2020 through September 14, 2026. Check the displayed endpoints; do not assume the range is unlimited.

This month in the screenshots means the start of the month through the review date: September 1 to 14, 2026. For the rest of the month or a future appointment period, select the required start and end dates in the picker and check them after applying the filters.

To review bookings associated with payments in a particular period, open Filters, set Transactions date, and clear Reservation date if you do not also want to restrict appointment dates. Select Show Results. Use Payments or Collection to reconcile money moving during that period.

Reservation Reports selects matching bookings and displays metrics about them. Do not treat its Total Revenue as a list of partial payments made within the date range. Use the transaction dates and amounts in Collection when reconciling payments.
