Import customers into Rekaz: match every customer column
Map Columns connects the information in your file to customer fields in Rekaz. Read the contents of a column as well as its heading. A filled dropdown means that a source column has been chosen; it does not prove that the values inside it are correct.

The Rekaz column names the destination field. The dropdown beside it selects the column from your file that supplies its values. For example, if your existing spreadsheet calls the customer-name column “Client”, choose Client beside Customer. Do not choose Phone simply because it is the first non-empty column.
Rekaz can fill some matches automatically when the headings agree. Check those matches too. Select Column leaves a destination unmapped; use it for an optional field that your file does not contain. Scroll down to review the remaining destinations before continuing.

Map each destination marked with an asterisk. Next shows “Please map all required fields before proceeding” if a required mapping is missing. Choose the correct source column, then continue.
This check concerns the column match. It does not check that every customer has a name or that every phone number is correct. Review the actual rows in your spreadsheet as well.

Complete the required column mappings
Customer*
Choose the column containing the customer’s recognizable name. This is the name your team will use to identify the record. A spreadsheet row number, phone number or company registration number is not a substitute for that name.
If you keep a contact name and company name in separate columns, decide which identifies the customer record and map Company Name separately below.
Mobile Number
Choose the customer’s mobile-number column, not a customer reference number or a secondary note column. Check that the spreadsheet has preserved the intended number, including its leading zeros and country format.
Keep mobile and email mappings separate. If you have no mobile data for a row, do not put a word such as “unknown” in its place. Check the requirements for your customer data before importing.

Match the customer name and contact information
Choose the column containing customer email addresses. A contact person’s name and a website address belong elsewhere. Review blanks and typing errors in the file; matching this column does not correct them.
Address
Choose the customer-address column. Do not map the Rekaz branch name here: the customer’s address describes the customer, while Branch assigns the record to a business location.
Where your template includes separate address components, keep each component in its own matching column rather than repeating the entire address in every field.
Customer type
Choose the column that distinguishes individual and company customers. Use the customer-type choices provided by your current template rather than inventing abbreviations. A column called Type may instead contain a marketing category such as “regular” or “VIP”; that is not the same information.
Company Name, Commercial Registration and VAT Registration Number remain separate mappings. Matching Customer type does not fill those fields for you.
Branch
Choose the column identifying the business branch for each customer. Its values do not have to use your current Rekaz branch names: the next step lets you match each name from the file to a Rekaz branch.
If the file has North and South, map the Branch column here, then assign North and South separately in Map Branches. If you leave this column unmapped, the next step shows a single Default mapping instead. Review the selected branch there before proceeding.
Commercial Registration
Choose the company’s commercial-registration-number column. Keep the values distinct from VAT numbers, phone numbers and company names. Leave this optional mapping empty when your file does not contain this information rather than reusing an unrelated number column.
VAT Registration Number
Choose the company’s VAT registration number. This field holds an identifier, not a tax percentage or a tax amount. A column containing “15%” or an invoice’s tax total is the wrong source.
Check long identifiers in the original spreadsheet before import so they have not become rounded numbers or scientific notation.
Company Name
Choose the column containing the company’s name. Keep it separate from the customer or contact name when the spreadsheet stores both. For example, a purchasing contact and the business they represent are different pieces of information; do not overwrite one with the other just to fill both mappings.

Custom customer fields
Additional destinations use the customer fields configured by your business. Match each by its meaning, not just its position in the table. In the pictured example, Preferred contact time maps to the file’s Contact preference column.
For a field with predefined choices, prepare answers that correspond to those choices. A preferred contact time records information about the customer; mapping that answer is not an instruction to call them or send a message.

Previous returns to the file step. Next checks the required mappings and opens Map Branches when they are present. You can return from the later steps to correct a match; the current choices remain available until you remove the file or close this draft.
