Record staff booking notes in the customer record in Rekaz

Last updated: September 15, 2026

Open the customer record, find Notes and select Create Note. Enter the booking reference and staff instructions, then select Submit. The note belongs to the customer record; it is not a field attached directly to the booking.

Use customer-record Notes for internal instructions available to staff according to their permissions. Turning off a service question’s website visibility is not a reliable way to keep its answer private: that answer can still appear in the order summary. This example records preparation instructions for a haircut without adding them to the order summary.

Before you start

Open Customers in your Rekaz dashboard. Have the customer name, booking number, date and appointment time ready.

  • Staff need permission to view customers to access the record, and permission to manage customer notes to add a note. Editing and deleting notes have separate permissions.

  • Check the correct customer and booking number. If names are duplicated, search by customer number or mobile number and verify the record before saving.

1. Open the correct customer

Open Customers. Search using Name or Number or Mobile Number, then select the customer name. The screenshots use a synthetic Arabic customer name; choose your booking’s customer record.

2. Create a note

Scroll to Notes and select Create Note. This section is separate from service custom questions and booking details.

3. Enter the booking reference and instructions

Include the booking number, service, date and time first, followed by the instruction. For example: “Booking #18458251 — Haircut — 14 September 2026 at 3:40 PM”, then “Prepare the towel before the appointment.” Review the details and select Submit.

4. Check the saved note

Confirm the text appears in Notes, and check its Date and Created By. Reload the page to confirm it remains. Use Actions in the note’s row if you need to edit it.

Result

The note appears under Notes with its date and creator, and remains after reloading. Staff use the booking reference in its text to identify the intended appointment.

Where will staff find it? Open Customers → the customer record → Notes. The note belongs to the customer rather than automatically to a single booking or assigned specialist, so include the booking number, service, date and time in the text.

Does hiding a service question make its answer private? Do not rely on it. A service question with website display disabled can still have its saved answer printed in the order summary. Use customer-record Notes for internal work instructions.

Who can use notes? Viewing follows customer-access permissions; creating, editing and deleting have separate note permissions. If Create Note or Edit is missing, ask your account administrator to review the staff member’s permissions.

If the appointment changes, update any date or time written in the note manually. A booking number typed into the text is a reference for staff, not a link that automatically updates the note.

To correct a note, use Actions in its row, choose Edit and submit the changes. To remove it, choose Delete and verify that you selected the correct note before confirming.

A note cannot be empty. Use a short, specific instruction such as “Prepare the towel before the appointment.” You do not need to repeat the customer’s phone number or personal details in the note.
