A useful task tells a colleague what needs doing, for which customer and by when. Prepare those details before saving. For example, “Confirm the preferred appointment time and record the customer’s answer” gives the assignee a clear action and a clear result to record.

**Tasks → New Task**

## New Task: required information

The form requires a customer, task text and an assigned user. Submitting an empty form shows a message beside each missing field. The deadline is optional, even though a new task initially shows today’s date.

## Customer

Search for the existing customer and select the correct result. Typing a name into the lookup only searches; choose the result so the customer appears in the closed field. Take particular care when customers have similar names.

This customer is the person the work concerns. The staff member who will do the work belongs in Assign to User below. Selecting a customer here does not create an appointment.

When you choose New Task inside a customer’s record, that customer is already fixed and the Customer selector is absent. Check the open record before writing the task. To create work for someone else, cancel and open the intended customer or use the main Tasks page.

## The task

Write the action and the information the assignee needs to complete it. “Follow up” leaves too much to guess. A more useful instruction is “Confirm whether the customer prefers a morning or afternoon appointment, then record the answer.”

Keep the instruction focused on one piece of work. If there is a deadline, enter it in Deadline Date as well as mentioning it in the text when context is useful. An empty description prevents submission.

## Assign to User

Search for and select the staff user responsible for the task. Check the selected name before saving; a customer name in the field above does not satisfy this requirement.

Choosing an assignee inside New Task sets responsibility for that task. The similarly named control above the task list is only a filter and does not reassign work.

## Deadline Date

Choose the date by which the work should be completed. This is different from the creation date, which describes when the task was added. Review the default carefully: a new form starts with today, so leaving it unchanged means today is still selected.

Use the month and year selectors or the previous/next arrows to reach the intended date. To leave the deadline empty, open the calendar and select the highlighted date again. The field then returns to its Deadline Date placeholder.

A task deadline is a date for this work; it is not a booking time or an appointment with the customer.

## Submit

Before saving, read the customer, instruction, assignee and deadline together. They should describe one coherent task. Correct any required-field messages, then submit when the task is ready.

Wait for the result before trying again. If the form reports an error, use that message to correct the problem. Do not assume typing or selecting values has already saved the task.

## Cancel / Close

Cancel or close the dialog to discard the current draft. This is useful when you opened New Task to check a field or picked the wrong starting point. Reopening New Task starts a fresh form.
