# Find and manage expenses in Rekaz: filters, statuses and row actions

Use the expense list to find a particular cost, review a period or category, and open the correct record before editing, submitting or deleting it.

**Orders → Expenses → Expense**

## Search by reference

Enter all or part of the expense reference. This search is for the reference, so a word from Notes is not a substitute. Search and filters work together: a matching reference can still be hidden by a different branch or date filter. Clear the search text when you want to return to a broader list.

## Filter

Open the filter panel to narrow the list by branch, status, expense type, due date or amount. On the desktop, changing a value updates the results directly. Use several conditions together when one condition leaves too many matches.

## Branch

Choose the branch whose expenses you want to review. All branches removes this restriction. If your account does not show a branch filter, continue with the other available filters. A branch filter changes the list; it does not move any expense to another branch.

## Status

Choose Drafted to find records saved as drafts, or Submitted to find submitted records. All includes both. These are expense-record statuses; do not use them alone as proof of a bank transfer or supplier payment.

## Expense Type

Choose the category you want to review, such as the category used for consumable supplies. All includes every type. Category names keep the language in which your team entered them, even when you change the interface language.

## Due Date - From

Set the first due date to include. This refers to the expense’s Due Date, not the day someone created the record. Leave it empty if you do not want a lower date boundary.

## Due Date - To

Set the last due date to include. For expenses due on one particular day, select the same day in From and To. For September, use 1 September and 30 September. Check the year as well as the month before selecting.

## Calendar: previous month

Move back one month, then choose the required day. Moving the calendar alone does not apply a new date.

## Calendar: next month

Move forward one month to reach the intended date. Read the month and year heading before choosing a day.

## Calendar: choose a day

Choose a day to set that end of the date range. Review both displayed dates afterward so the start is not later than the end.

## Minimum amount

Enter the smallest expense amount to include. Decimals are accepted. This is an amount per expense, not a combined total for the list. Leave it empty when you only need an upper limit.

## Maximum amount

Enter the largest expense amount to include. To find an exact amount of 125.50, enter 125.50 in both Minimum and Maximum. If no results appear, check that the minimum is not larger than the maximum and that other filters are appropriate.

## Applied filter label

Select an applied filter label above the table to return to that filter’s controls. Read these labels before concluding that an expense is missing: they show which restrictions are still active.

## Remove one filter (×)

Use the cross beside a filter label to remove that condition while keeping the others. Removing Due Date clears both ends of the date range; removing Amount clears both amount limits.

## Clear all

Clear all removes the active filters, but keeps the reference search text. If the list still looks narrow afterward, also clear Search by reference. Closing the panel alone does not clear the filters.

## Close filter panel

Close the panel to make more room for the table. Applied conditions remain visible as labels and continue to affect the results.

## Sort by Reference Number

Use the reference heading to change the order of the matching records. Sorting changes their order, not their saved reference values.

## Sort by Due Date

Use the date heading to order expenses by when they fall due. This is useful for reviewing upcoming or older costs while keeping your filters.

## Sort by Amount

Order matching expenses by amount to review larger or smaller entries. A high position in the list does not change the amount itself.

## Sort by Status

Order the matching records by status. Use the Status filter instead when you want only one status to appear.

## Reference link / Actions → Edit

Open the reference or choose Edit from that row’s Actions menu. Review the full notes and attachment in the form; a shortened note in the table does not mean the rest was deleted. Save your changes before leaving the form.

## Actions → Submit

A draft’s Actions menu offers Submit. The confirmation identifies the expense by reference. Confirm to change it to Submitted, or Cancel to leave the draft as it is. The Arabic action is labelled حفظ. Once submitted, the row no longer offers this action.

## Actions → Delete

Delete opens a confirmation for that expense. Check the reference before confirming, especially after filtering or sorting. Deleting an expense removes that record from the list; use Edit when you only need to correct its amount or notes.

## Confirm Delete / Cancel

Confirm Delete to remove the named expense, or Cancel to keep it. Wait for the updated list and check the result. An error message means you should review the outcome before repeating the action.

## Export to Excel

Export the expenses matching your reference search and filters. The export includes matching records across pages, so the visible page size is not an export limit. Check the applied conditions before exporting. The button is unavailable when there are no matching expenses.

## Show: rows per page

Choose how many results appear on one page. This changes the view, not the saved expenses or filter criteria. The count below the table tells you how many records match, rather than how many you have selected.

## First page

Return to the first page of matching expenses.

## Previous page

Go back one page without clearing your search or filters.

## Next page

Open the next page of matches. Disabled when there is no next page.

## Last page

Jump to the last page. When all results fit on one page, the page-navigation buttons are disabled.
