# Rekaz customer templates: activation, fields and choices

Build a repeatable record for information that belongs together. Configure its fields first, then decide who can see and edit the records. This reference covers the template settings; the companion record guide explains actual entry from a customer profile.

## Add a customer template

A template defines a set of fields that can be repeated for a customer. For example, a car-care business can keep a separate record for each car belonging to the same customer. Decide what one record represents before naming the template.

## Preset Name

Enter a name that describes the records, such as Cars or Hair care preferences. A blank name leaves Next unavailable. Use the language selector to enter the Arabic and English names separately; a translated label does not translate the values staff later enter.

The flag selects which translation you are editing. Switching languages keeps the other translation. Read the flag before typing, and correct any language warning before continuing.

## Next

Next creates the template and opens its fields page. The new template is enabled immediately, so this is more than moving to an unsaved next step. Add the necessary fields and check its visibility settings before using it.

## Create New Preset: Cancel / Close

Cancel or the close icon leaves the new-template dialog without creating the template. This applies before Next; closing the field page after Next does not undo the template you already created.

## Template activation switch

Enable a template when staff need to add its records to customer profiles. The switch saves its change immediately; there is no separate Save button on the cards page.

Disabling hides the visibility and customer-editing controls on the card. It does not mean you deleted the template or its fields. Keep those two actions distinct when retiring an old form.

## Visible / Not visible to customers

This setting controls customer visibility and appears on enabled templates. Read the current state before clicking: clicking changes it immediately. Review the kind of information you collect before allowing customers to see it; a form used for staff notes may need a different choice from a form customers maintain.

## Editable / Read-only for customers

Choose whether customers may edit their template records. This is separate from visibility: being able to see a record and being able to change it are different permissions. Read both settings together before using the template.

## Customize

Open the fields belonging to this template. Each row shows its label, type and whether it is required. The card shows only a short selection of fields; + Others means there are more, not that they are missing.

## Preview and Close

Preview shows field labels, required marks and example controls. It does not create a customer record, and its inputs are disabled.

Use it to check labels and choices, then use the customer profile to enter real records. In particular, the preview can display both List and Multi Select as checkboxes, while actual record entry distinguishes a single choice from multiple choices.

## Export to Excel

The export button belongs to one template. Use the button on the template you want, wait for the download, and check the resulting file before sharing it. Its contents may include customer information; exporting is not a way to save unfinished edits in a field dialog.

## Add Field

Add one piece of information per field. For a hair-care record, Preferred service and Last hair colour date should be separate fields because one is a choice and the other is a date. New fields start as optional text fields until you change their settings.

## Label and language

Use a label that tells staff exactly what to enter. Include the unit when it matters: Hair length in cm is clearer than Length. Enter each translation through the flag selector. A meaningful label is required before Save becomes available.

## Field Type

Choose the type before collecting records. It determines the control staff use to enter the value. Changing an existing field’s type can make earlier values unsuitable for the new meaning; use a new field when you are asking a different question.

## String

Use text for short notes, reference codes or descriptions. Keep identifiers with leading zeros as text rather than treating them as quantities.

## Number

Use for a measurable amount such as length. Put the unit in the label. The customer record form accepts decimal values such as 32.5; the template editor does not offer a minimum, maximum or unit setting.

## Yes/No

Use a clear statement such as Prefers a quiet appointment. In the customer record form, checked means Yes and unchecked means No. Do not phrase the label as two questions with different answers.

## Date

Use for a calendar date such as Last hair colour date. This field does not ask for an appointment time. If you need both a date and a separate descriptive note, add separate fields.

## List

Use when only one answer should be selected, such as the preferred service. Add the choices below. A list without useful choices gives staff nothing meaningful to select.

## Multi Select

Use when several answers can be true, such as interests in moisturizing and styling. Make every option a distinct choice. Avoid putting a comma inside a choice; use a short phrase instead.

## Maps

In the platform customer record form, this type currently appears as a text area. Staff can enter a location description there. Do not expect this control to open an interactive map or automatically obtain coordinates.

## Color

Use when an actual colour value matters, such as a preferred nail colour. The form presents a colour picker, initially black. If a shade name or product code is also needed, add a text field for it.

## Document

Use for one document associated with the record. The record form offers Upload document, then Change and Remove after upload. Keep the field label specific, such as Care plan, so staff know which file belongs here.

## Image

Use for one reference picture. Staff choose the image in the customer record form, not in this field-definition dialog. Use an additional image field if the record needs a separate picture with a different purpose.

## Required

Mark fields required only when staff must provide them to save a record. A required List with no selection blocks saving. Yes/No already has an unchecked No state, and Color starts with black; required should not be interpreted as forcing a positive answer or proving the colour was deliberately chosen.

## Field Options: text and Add

List and Multi Select reveal option rows. Press Add for each choice and enter its text. The option rows do not have their own language selector; write wording your staff can understand in either interface.

Blank rows are omitted when saved, and surrounding spaces are removed. Use distinct choices, such as Haircut and Styling, rather than two slightly different spellings of the same answer.

## Delete an option row

The bin beside an option removes that row from the field draft. Save applies the change; Cancel retains the previous saved options. Before changing choices on a form already in use, consider how staff will interpret records containing the old answers.

## Save field

Save stores this field’s label, type, required status and choices, then returns to the fields list. Check the row’s type and Required/Optional state. Reopen it if you need to verify the translations or full choice list.

## Cancel / Close field editor

Dismiss the editor to abandon changes in that dialog. For an existing field, changing the type and removing a choice then cancelling leaves the saved type and choices unchanged. It does not undo earlier saves.

## Field label / Actions → Edit

Click a field label or choose Edit from its row menu to reopen the same definition. Check you are editing the intended template, especially when several templates contain a field named Notes.

## Actions → Delete field

Delete opens a confirmation for the chosen field. Read it before confirming, and use Cancel if the field is still needed. Do not treat removal of a field as simply hiding it or assume old recorded values will remain available.
