# Identify new and renewing subscribers in Rekaz

Updated: 2026-09-15

Open the customer profile and review Subscriptions to check whether the customer has subscribed before. Filtering the subscription list by date includes subscriptions starting in that period, whether they are a first or later subscription. The standard xlsx export does not add an automatic New / Renewed column. Review the history and record your classification manually in a working copy.

The example uses subscriptions starting June 1–30, 2026. Two rows belong to one customer: an earlier subscription starting June 17 is now Expired but Paid, while a later subscription starting June 28 is Pending Payment. The earlier record establishes that the customer is returning for the later subscription. It does not establish that the later subscription was paid or that it renews the same service.

## Before you start

Orders → Subscriptions, then the customer profile for history review.

- You need access to subscriptions and customer profiles, plus subscription export permission to download xlsx. Mobile numbers and financial values have separate visibility permissions.

- Decide whether you need subscriptions starting during a period or payments collected during it. These steps use the subscription Start Date.

## 1\. Open the subscription list

Open Orders, then Subscriptions. Check the search field and status buttons. Choose All when you need every subscription status for the period.

## 2\. Set the subscription start period

Select Filter, then Start Date. Choose the month, year, first day and last day. The example is June 1–30, 2026. Leave Subscription End Date empty unless you also need an end-date condition.

## 3\. Show and check the results

Select Show Results. Check the date chip and visible statuses. The example has two subscription rows for one customer; a row does not always represent a different person.

## 4\. Export the list to xlsx

Open Actions at the top, then Export subscriptions to xlsx. Keep the original file and a working copy. The export uses current filters and contains subscription data without an automatic new-or-renewed classification.

## 5\. Open the customer’s history

Return to the list, open the customer’s name and find Subscriptions in their profile. Check older records too, using Show previous subscriptions or Show More when those controls appear.

## 6\. Compare the earlier subscription

Expand the earlier subscription and check its start date, end date, service and payment status. The example starts June 17 and ends July 16. It is Expired with a Paid order.

## 7\. Check payment before classifying

Review the later card before recording a classification in your working copy. The example starting June 28 is Pending Payment, so Returning customer — pending payment is appropriate. Verify the renewal relationship and payment before using Paid renewal. These are manual review labels you add yourself.

## Result

You have the matching subscription names and can check customer history and payment status before recording a clear manual classification.

Define New consistently: the customer’s first subscription with your business, or their first subscription to a particular service. Buying a different service does not necessarily make someone new to the business. If history is incomplete, record Needs review instead of asserting that the customer is new.

Date filters do not classify renewals. Start Date filters service start dates; Subscription End Date filters end dates. Fill both with the same period only if you need subscriptions that both start and end in that period. A date-filtered list is not a record of payments collected during it.

For a six-month period, choose the intended first and last dates in the calendar and check the year. The short monthly example only illustrates the comparison. Customer creation, payment and subscription start dates are different concepts.

Check status buttons, search and other filters before exporting. Active alone excludes expired and pending subscriptions. Use All when reviewing the period’s history, then separate statuses according to your analysis.

Branch, service, source and customer filters narrow the results together. Branch access also limits what you can review. A missing record in the current scope does not prove that the customer never subscribed at another branch.

The subscription-list export contains the currently listed subscriptions matching its filters; it is not a complete history of every previous renewal. An expired subscription that was renewed can be absent from the general list. Check the customer profile, and open Show previous subscriptions or Show More when available before deciding which subscription was first.

The standard export includes Service, Customer, Mobile Number, Start Date, End Date, Status, Branch and price fields; custom fields may also appear. This route has no automatic New / Renewed classification. Add review columns in a working copy and keep them distinct from the original Rekaz fields.

Use the customer profile to verify identity. Names can match, and a mobile number can be shared or missing. Do not merge records by name alone or treat a repeated phone number across different profiles as conclusive proof of one customer.

Multiple subscriptions do not by themselves prove renewal of the same service. They can be additional subscriptions, different services or overlapping periods. Compare the service, dates and earlier record. Use Returning customer — another subscription or Needs review when the renewal relationship is unclear.

Subscription status and payment status differ. Expired does not mean unpaid: the earlier example is expired and paid. A later Pending Payment subscription is not a completed paid renewal. Check its linked order before counting money collected.

Suggested manual columns are Review classification, Previous subscription, Payment status and Note. For the later example, record Returning customer — pending payment and refer to the subscription starting June 17. Use Paid renewal only after verifying both the relationship and payment.

Subscription Reports shows aggregate Subscription Renewals; it does not replace name-level customer-history review. Do not derive new customer count by subtracting that number from Total Subscriptions Count: the counting units, statuses and scope can differ.

Customer counts and subscription counts differ. This example has two subscriptions for one customer. Keep subscription rows when analysing services, and deduplicate verified customer identities when counting people.
