Insurance Fee in chalet settings adds one fixed amount for that chalet. It is separate from Deposit Settings and does not provide a different insurance amount for each price option, such as “with a majlis” and “without a majlis.” For a fee selected manually on a staff order, you can refund its amount from the payment, then uncheck that fee when editing the order. A refund alone does not remove the fee from the order total.

This guide covers two related paths: configuring chalet insurance and checking the website cart, then a complete example of returning a manually selected 500 SAR fee from a 1,700 SAR order. The booking itself costs 1,200 SAR. Check the actual total in each path; the customer website and staff checkout do not necessarily apply the same fees in the same way.

## Before you start

Rekaz dashboard → Estates → edit the chalet → Pricing. To return a collected fee: Orders → the relevant order.

- Open the correct business and chalet using an account that can edit services and orders and process refunds. Verify the order, customer and payment before any financial action.

- The refund section applies to a fee selected manually on an order with a confirmed payment sufficient for the refund. The example uses an existing fee named رسوم تأمين for 500 SAR and a 1,700 SAR cash payment.

- Agree the security amount and return conditions with the customer. Select the method that describes how money is actually returned. Recording Cash does not initiate a bank transfer or automatically reverse an online payment.

- Before changing an order with an issued invoice, review the document effect with the person responsible for your business invoices. The example replaces the issued invoice and keeps its history.

## 1\. Distinguish booking deposits from insurance

Under Estates, edit the chalet and open Pricing. Review Pricing and Options, the period price and Deposit Settings. Leave the booking-deposit requirement appropriate for your booking; it is not a substitute for the insurance fee. The example service costs 1,200 SAR with Deposit Settings off.

## 2\. Set the chalet insurance amount

On the same page, enable Insurance Fee and enter Insurance amount, for example 1,000 SAR. This is one fixed chalet amount, not a percentage or a different value for each price option. Select Update Service, then reopen the service and Pricing to confirm the saved value.

## 3\. Check the website cart before payment

Open the service on the business website, choose its section and dates, and add the booking to the cart. Check the service price, every fee and the total. The example combines 1,200 SAR for the service, an existing 500 SAR fee and 1,000 SAR chalet insurance, totalling 2,700 SAR. Correct overlapping fees for the same purpose before completing a purchase.

## 4\. Check the manual fee on a staff order

For the manual-fee example, open Reservations and Create Reservation. Select the service, section and dates, then Add and Payment. Under Additional Fees, select the correct existing fee. The example’s رسوم تأمين is 500 SAR per order, increasing Amount due from 1,200 to 1,700 SAR. Complete payment using the actual method after checking the total; do not record cash you have not received.

## 5\. Verify the saved order and payment

Open the saved order. Under Order details, check the 1,200 SAR service and separate 500 SAR manual fee. Open Transactions to verify the payment and method, then Refunds for previous returns. Do not use the invoice total alone to decide how much security to return.

## 6\. Refund the security amount from the payment

Open Actions at the top of the order, then Refund Invoice and Refund a specific payment. Select the payment and enter 500 in Refund Amount instead of the full 1,700. Choose the actual return method; this example uses Cash. Select Other under Refund Category and enter the explanation. Check the amount, then select Process Refund to record the intended return.

## 7\. Confirm the refund and inspect the remaining balance

Open Refunds. Verify 500 SAR, Processed status and Cash. At this point the order can show Partially Refunded and a 500 SAR Remaining Amount because its total still includes the fee. Do not use Pay Order to collect the security again; review the fee in the next step.

## 8\. Remove the returned manual fee from this order

Open Actions, then Edit. Under More order details and Fees, uncheck the returned 500 SAR manual fee. Keep the service and other fees unchanged. Check that Invoice summary now totals 1,200 SAR and Paid Amount is 1,200 SAR, then select Save. This changes the current order, not the business’s fee rule.

## 9\. Verify the net payment, invoice and booking

Under Order details, verify that total and Paid are 1,200 SAR and Refunded Amount is 500 SAR, with no new remaining balance. Review Invoices: in the example, the 1,700 SAR invoice was cancelled and a 1,200 SAR invoice issued, retaining the history. Open the service details and confirm the booking status and dates; the example remained Confirmed.

## Result

You verify the insurance amount presented to the customer and record the correct manual-fee refund. After refunding 500 SAR and removing that fee from the example order, its total and net paid amount are both 1,200 SAR, with the refund history and booking retained.

1,000 SAR with a majlis and 500 SAR without: do not enter both figures in Insurance amount or expect the period name to change it. There is one amount for the chalet. If these are genuinely separate services, configure each service with its corresponding amount and check each cart. If they remain price options within one service, this field does not configure separate insurance amounts per option; review the service setup before publishing it.

Insurance versus a booking deposit: Deposit Settings controls booking payment requirements. Insurance Fee adds a charge to the order. One does not configure the other. Calling a fee “refundable security deposit” does not establish a bank hold or an automatic release date.

Avoid duplicate collection. The example website cart shows a 1,200 SAR service, an existing 500 SAR fee and the chalet’s 1,000 SAR insurance fee, totalling 2,700 SAR. Check every line and its scope before payment. Do not add another manual fee for the same purpose just because chalet insurance is enabled.

Website and staff checkout: the example website applied the 1,000 SAR insurance fee automatically alongside the other fee. Staff checkout offered the manual 500 SAR fee for selection, showing 1,200 SAR before selection and 1,700 SAR after. Inspect the actual summary in the path you use instead of copying a total from the other example.

The refund procedure here removes a manually selected order fee. If your fee is automatic or does not appear as a removable choice in the order editor, do not assume the manual-fee removal steps apply. Do not change the chalet insurance amount or disable a business-wide rule to fix one past order; review that order and fee route with support.

Refund only the intended amount. Service-selection mode lists the booking service; selecting it does not mean selecting only the insurance fee. Use Refund a specific payment and enter the amount. Availability depends on the payment and previous requested or processed refunds. Do not repeat a successful refund because the page is slow to refresh.

Other requires a written reason. Describe the event, such as returning security while retaining the service charge. The explanation alone does not remove a fee, cancel a booking or transfer money outside Rekaz. Do not choose a booking-cancellation reason for a booking that is continuing.

Remaining Refund Amount differs from the order’s Remaining Amount. Before processing the example, 500 SAR is selected for refund and 1,200 SAR remains refundable. After returning 500 without editing the order, net paid is 1,200 but the total is still 1,700, leaving 500 displayed as payable. Review the fee instead of accidentally collecting that security amount again.

Removing the example order’s manual fee leaves the fee rule available for other orders. Rekaz replaced the issued 1,700 SAR invoice with a 1,200 SAR invoice; the previous invoice appeared cancelled with a credit note under Invoices. Review the latest invoice and history. An invoice number differs from an order number, and a credit note does not prove an additional money transfer.

Proof of collection and return: Transactions retains the original 1,700 SAR payment, Refunds retains the 500 SAR return, and Payment shows 1,200 SAR net paid. Invoices provides the documents for printing. Partially Refunded can remain after the total is adjusted because it reflects the refund history; verify the figures as well as the status.

This is a cash example. For an online payment, use the methods available for that transaction and read the payment provider’s result. Editing an invoice alone does not return money. Do not infer processing-fee reimbursement or a delivery time from this example. The fee name also does not determine accounting or tax treatment; displayed tax figures belong to the example’s settings.

Do not cancel the booking or service merely to return security when the booking should continue. At the end, verify booking status and dates, refunded amount, total, net paid and latest invoice. If saving or processing fails, inspect the current result before trying again.
