Set Customer Type to Corporate, fill Company Name and VAT Number, and save the customer. Make sure the order belongs to that customer before issuing its invoice. The company details appear in Customer Info on the invoice, separately from your own Business Info.

The contact name in a customer record may differ from the company name required on an invoice. Use the dedicated corporate fields and verify the invoice itself. An issued invoice keeps the buyer details recorded when it was issued; later customer edits do not rewrite that invoice.

## Before you start

Start in Customers. Prepare the company details before issuing an invoice or recording a payment that may issue it automatically, then open the customer’s order.

- Use an account with permission to manage customer details, access the order and issue invoices. Obtain the company name, VAT number and other relevant billing details from the customer.

- Prepare the order and required payments before issuance. If Rekaz asks you to pay the order first, record the payment after receiving it through the correct method. Do not record an uncollected amount just to obtain an invoice.

## 1\. Set Customer Type to Corporate

Open Customers. Select New Customer, or open an existing customer and choose Actions → Edit. Enter Customer Name when adding a record. Set Customer Type to Corporate to expose the company fields.

## 2\. Save Company Name and VAT Number

Enter the company name required on the invoice in Company Name and its VAT number in VAT Number. Complete the other relevant details, then select Submit. The example company name is شركة المثال للتدريب, which differs from the customer record’s name.

## 3\. Check the customer on the order

Open the order from the customer’s record, or use Create New Order, add its items and save. Verify that Customer points to the correct company customer record. The screenshot shows that customer on an existing order.

## 4\. Issue the invoice or check that it was issued

Review Last Invoice. If there is no issued invoice, use Issue Invoice; after voiding an earlier invoice, use Issue New Invoice. If Rekaz requests payment first, record the amount actually received and check whether that issued the invoice. If an issue confirmation appears, verify the order and amount, then confirm Issue Invoice. If already issued, proceed to opening it.

## 5\. Open the invoice and verify the buyer

Select Print Invoice, or open the Invoices tab and select Print for the required invoice. In the preview, check Customer Info: Company Name appears under Customer Name, and the VAT number appears under Vat Number. Match both before printing or providing the invoice. The displayed invoice template includes Arabic and English labels.

## Result

The invoice shows the customer company name and VAT number in its buyer section, where you can match them to the saved details.

Customer Name and Company Name can differ. The first may identify the contact or customer record. In the displayed invoice, the saved Company Name appears under Customer Name in the buyer section. Enter the required invoice company name in Company Name.

VAT Number belongs to the buyer. CR Number is a separate commercial registration field. Do not enter the VAT number in the telephone or commercial registration field. These customer fields do not change your business details as the seller.

The corporate form also exposes Building Number, District, City and Postal Code. Enter the relevant company details and complete fields required by your account. Required buyer fields can depend on billing settings.

Payment may issue the invoice automatically. In the manual-order path shown here, the order initially had no invoice, and recording its payment produced an issued invoice. Prepare buyer details before payment and check Last Invoice before trying to issue another invoice.

If issuance asks for payment first, use Pay Order to enter the payment method, date and amount actually received. After saving, check whether the invoice was issued automatically or the issue action remains available.

Changing Company Name or VAT Number in the customer record does not correct an invoice already issued. Open the specific invoice to verify its original buyer details.

For a correction through voiding and reissuing, update the customer first. Open the order, select Void Invoice, choose a reason and confirm. Rekaz states that this creates a credit note for the invoice value. Issue New Invoice then becomes available; issue it and verify the buyer details again. Follow your business’s authorized invoicing procedures.

Voiding an invoice is different from refunding its payment. The payment remained recorded on the order after the invoice was voided. Check Transactions and the payment status; do not assume a credit note returned money to the customer.

The issue confirmation warns that issuance locks order editing. Check the customer, items and amounts before confirming. If the order already has an issued invoice, open it first rather than assuming newly saved details replaced its original buyer information.
